Administrative/Office Assistant - Seasonal

CTA is currently seeking an Administrative/Office Assistant to fill their seasonal, summer position at the Pier 66 Bell Street Pier Cruise Terminal.

Summary
The Administrative/Office Assistant is responsible for coordinating and disseminating information between offices. Heavy emphasis on answering phones and responding to emails and filing as needed. Additionally, the Administrative/Office Assistant generates invoices and collects payments in a timely manner, and occasionally assists with cruise operations as needed.
The Administrative/Office Assistant will report to the General Manager, Security & Operations Manager and Supervisor, and assists as directed.
Schedule/Hours

Seasonal employment: Late March through mid-November with some training in early March

30 - 40 hours per week

Monday - Friday

8:30am - 4:30pm
Essential Duties and Responsibilities
Include the following:
Administrative/Office Assistant Duties

Answering phones and emails

Invoicing and payment reconciliations

Filing (both physically & electronically)

Other duties as assigned
Cruise Operations/Terminal Management

Implementation of secure measures as needed

Badging of terminal employees

Radio communication

Camera surveillance system

Maintenance Log
-
Facility walk-through and maintenance coordination

Inventory and stock level maintenance

Other duties as assigned
Qualifications,
Education &
Experience
-
Quick learner, dependable and able to work independently

Proficiency in computer usage and MS Office programs required

Proficiency in MS Excel a must
-
Accounting/admin knowledge preferred
-
Knowledge of other security and operations equipment helpful but not required

Commitment for entire cruise season required (Late March - mid-November, some training in early March)

$21.00 - $23.00 per hour
